Privacy Policy

Last updated: September 10, 2026

1. Who we are

NovaClips ("we", "us") operates the NovaClips web application and related services. For privacy questions or requests, contact us at:

Operator: NovaClips.

Contact: [email protected]

2. Information we collect

We collect only what is needed to run the service:

  • Account information: name, email address, and profile image when you sign up with email or Google.
  • Project and usage data: project names, processing status, clip metadata, processing-run balances, and related job history.
  • Media you upload or import: source videos, derived audio proxies, and rendered exports stored for processing and download.
  • Technical data: browser type and session identifiers. Our auth provider may store your IP address and user agent with active sessions.
  • Support communications: information you send when you email us.

We do not require a date of birth, phone number, or mailing address to use NovaClips.

3. How we use your data

We use personal information to:

  • Authenticate you and maintain your account
  • Process videos, generate transcripts and clip suggestions, and deliver exports
  • Enforce plan limits and processing-run billing
  • Send account and service emails described in Email communications below
  • Respond to support requests and protect the service from abuse
  • Comply with legal obligations

We do not sell your personal information.

4. Third-party processors

We use trusted providers to operate NovaClips, including:

  • Authentication: Better Auth (sessions, email codes, optional passwords, passkeys) and Google OAuth
  • Email: Resend (sign-in codes and transactional email)
  • Cloud storage: Cloudflare R2 or local disk in development
  • Transcription: Deepgram
  • Clip analysis: OpenAI
  • Payments: Dodo Payments (for paid subscriptions and credit packs)
  • Database and queues: PostgreSQL and Redis for application data and background job processing
  • Media import (when used): source download tools for user-provided URLs (for example public Google Drive links or direct video-file URLs you submit for import)
  • Infrastructure: hosting and database providers for the API, web app, and background workers
  • Fonts: Instrument Sans, Manrope, and Newsreader via Next.js font optimization (sourced from Google Fonts, self-hosted at build time, with no runtime request to Google's font CDN in the browser)

These providers process data on our behalf under their own terms and privacy policies. See our Cookie Policy for browser storage details.

AI subprocessors. To run transcription and clip analysis, audio from your uploads is sent to Deepgram and transcript text is sent to OpenAI. We configure these requests for service delivery only, but Deepgram and OpenAI may retain or log API inputs under their own policies. We do not control their retention schedules. Review Deepgram's privacy policy and OpenAI's privacy policy for current details.

5. Email communications

We send two categories of email:

Transactional (always on). These are required to operate your account and are not promotional. They include sign-in codes, password and email-change verification, welcome messages, clips-ready and export-ready notices, processing-failure alerts, usage and expiration warnings, and billing or subscription status updates. Sign-in codes always send when you request them. You cannot opt out of emails we must send to provide the service or meet legal obligations.

Optional product tips and updates (opt in). With your permission, we may send occasional emails about new features, workflow tips, or offers. This category is separate from transactional service email and is not required to use NovaClips. At signup, this is unchecked by default. You can change your choice anytime in Settings → Notifications, and every promotional email includes a one-click unsubscribe path.

6. Analytics

NovaClips does not currently use third-party advertising or analytics trackers (such as Google Analytics or Meta Pixel). Product analytics hooks exist in the codebase but are not wired to an external service yet. If we enable analytics in the future, we will update this policy and our Cookie Policy before doing so.

7. Automated processing and AI

NovaClips uses automated processing to transcribe your uploads and suggest clip boundaries, titles, rationales, and editorial scores. This is core product functionality, not optional advertising personalization.

  • Deepgram receives audio derived from your uploaded or imported source media to produce transcripts.
  • OpenAI receives transcript text (including speaker labels and timing) to rank clip candidates and generate titles, rationales, and score breakdowns. We do not send your raw video file to OpenAI for clip selection.

Clip Potential scores and suggested titles are AI-assisted editorial aids. They are not human-written reviews and are not guarantees of performance. You are responsible for reviewing outputs before publishing.

Retention by AI providers. Deepgram and OpenAI may keep copies of audio or transcript text they receive for security, abuse prevention, legal compliance, or service improvement, according to their own policies. Those retention periods can change without notice to us. Your private video content is not used to train NovaClips models without your separate explicit consent (see Model training below).

Your ownership. You retain ownership of your uploaded media and exported clips. AI-generated titles, scores, and suggestions are provided to help you edit; they may be inaccurate and require your review before publishing.

8. Video and media content

Uploaded and imported sources are stored temporarily for processing. Retention depends on your plan (see our Terms of Service). We delete stored media when projects expire, when you delete a project, or when you delete your account, except where backups or legal records require limited retention.

9. Model training

Your private video content is not used to train NovaClips models without your separate explicit consent.

10. Your rights and choices

You can:

  • Request a display name change by emailing [email protected] (self-service name editing is not available yet)
  • Download a JSON export of account metadata and project summaries from Settings → Privacy & data
  • Delete individual projects from your library
  • Delete your account from Settings → Privacy & data (blocked while a project is actively processing)
  • Email us for other privacy requests at [email protected]

Account deletion removes your profile and associated project data from our active systems. Billing records required for tax or legal compliance may be retained longer. Database backups may retain deleted data for a limited period before being overwritten.

Depending on where you live, you may have additional rights to access, correct, delete, or obtain a copy of your personal information. We do not sell personal information or use it for cross-context behavioral advertising. We do not currently respond to Global Privacy Control signals because we do not sell or share personal information for advertising.

California residents (CCPA/CPRA). If you are a California resident, you may have the right to know what personal information we collect, request deletion or correction, obtain a portable copy, and opt out of certain sharing. We do not sell personal information or share it for cross-context behavioral advertising. To exercise rights, email [email protected]. We will verify your request and respond within 45 days (or as required by law). You may designate an authorized agent to submit requests on your behalf with written permission.

Other U.S. state privacy laws. Residents of Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws may have similar rights. Contact us at the address above to exercise those rights.

11. Children's privacy

NovaClips is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

12. Security

We use industry-standard measures such as encrypted connections, HTTP-only session cookies, and access controls. No method of transmission or storage is completely secure.

13. Changes

We may update this policy. Material changes will be posted on this page with an updated "Last updated" date.
